Guidester – Terms & Conditions

By booking or purchasing any service through Guidester (“we,” “us,” or “our”), you (“Client” or “Traveler”) agree to the following Terms & Conditions.

  1. Services Offered

Guidester provides travel-related services including, but not limited to:

  • Travel planning consultations
  • Custom itineraries and digital travel guides
  • Small-group guided tours and curated travel experiences
  • Travel advice, recommendations, and logistical planning

Guidester is not a travel insurance provider, airline, hotel, transportation company, or tour operator unless explicitly stated in writing.

  1. Consultation & Travel Planning Fees (Non-Refundable)

All consultation and travel planning services are non-refundable.

This includes, but is not limited to:

  • Travel planning consultations
  • Custom itinerary creation
  • Research, recommendations, and destination expertise
  • Booking guidance and travel strategy

Once work has begun, no refunds, credits, or chargebacks will be issued under any circumstances.

  1. Guided Tours & Deposits
  • Guided tour deposits are subject to the specific cancellation and refund policy outlined for each individual tour.
  • Unless explicitly stated otherwise in writing, tour deposits are non-refundable.
  • Final payment deadlines are strictly enforced. Failure to submit final payment by the due date may result in cancellation without refund.
  1. Cancellations, Changes & Interruptions
  • Client-initiated cancellations or changes may result in penalties or fees imposed by third-party suppliers (including airlines, hotels, guides, and transportation providers).
  • Guidester is not responsible for non-refundable costs charged by suppliers.
  • Changes to dates, names, itineraries, or services are not guaranteed and may incur additional fees.
  1. Third-Party Suppliers

Guidester works with independent third-party suppliers to deliver travel services.

  • Guidester is not responsible for the actions, omissions, delays, cancellations, or failures of any third-party supplier.
  • All bookings are subject to the terms, conditions, and policies of the individual supplier.
  1. Travel Insurance (Strongly Recommended)

Guidester strongly recommends that all travelers purchase comprehensive travel insurance, including coverage for:

  • Trip cancellation or interruption
  • Medical emergencies
  • Travel delays
  • Lost, stolen, or damaged belongings

Failure to obtain travel insurance is done at the traveler’s own risk.

  1. Force Majeure

Guidester shall not be held liable for delays, changes, cancellations, or losses resulting from events beyond our control, including but not limited to:

  • Acts of God or natural disasters
  • War, terrorism, or civil unrest
  • Pandemics or public health emergencies
  • Government actions, border closures, or travel restrictions
  • Airline, transportation, or labor disruptions

Refunds in such cases are subject to supplier policies and are not guaranteed.

  1. Traveler Responsibility

Travelers are solely responsible for:

  • Valid passports, visas, and entry requirements
  • Required vaccinations and health documentation
  • Assessing personal health and physical fitness
  • Complying with local laws and customs

Guidester is not responsible for denied boarding, entry refusal, or travel disruptions due to documentation or compliance issues.

  1. Health & Physical Requirements

Some trips may involve moderate to strenuous activity, including walking, stairs, uneven terrain, or extended periods of activity.

  • Travelers are responsible for determining whether a trip is suitable for their physical abilities.
  • Inability to participate fully in a trip due to physical limitations does not entitle the traveler to a refund.
  1. Limitation of Liability

Guidester’s liability is strictly limited to the amount paid directly to Guidester for services rendered.

  • Guidester shall not be liable for indirect, incidental, or consequential damages.
  • Travel involves inherent risks, which travelers voluntarily assume by participating.
  1. Intellectual Property & Use of Materials

All itineraries, guides, documents, and digital content provided by Guidester are for personal use only.

  • Content may not be copied, shared, distributed, resold, or reproduced without written permission from Guidester.
  1. Governing Law

These Terms & Conditions are governed by the laws of the State of Missouri, without regard to conflict-of-law principles.

  1. Acceptance of Terms

By booking a service, submitting payment, or participating in any Guidester experience, the traveler confirms they have read, understood, and agreed to these Terms & Conditions in full.
